Brilliant Corners Artist Management is seeking a full-time Office Manager / Executive Assistant for our San Francisco office.
This role is equal parts office administrator, executive assistant, and artist-manager & client support. Qualified candidates must have exceptional organization, multitasking, and prioritizing skills. Candidates must be assertive self-starters; proactive and disciplined even in the most ambiguous situations. Keen attention to detail and clear written and verbal communication skills are a must. A selfless, positive attitude, deep desire to learn, and strong project management capabilities are required. Proficiency with Google Workspace, Box, Dropbox, Adobe Creative Suite, and Microsoft Office strongly preferred.
Job Description:
Field incoming phone calls and greet guests.
Ensure consistent office tidiness and organization.
Schedule and run office meetings and company calls.
Maintain vendor relationships (e.g. internet and software providers, utilities, cleaners, etc) and help coordinate office financial recordkeeping.
Update office inventory and restock supplies as needed.
Field general inquiry emails as appropriate.
Act as office liaison to landlord, company accountants, payroll and health insurance providers, and IT support providers.
Coordinate needs for staff outings and special events.
Distribute incoming and outgoing mail.
Oversee office filing systems and maintain database of company contacts.
Assist with coordinating staff schedule calendars and personnel records.
Troubleshoot and help resolve IT issues as they arise (with outside tech support as necessary).
Assist senior management with organizational projects and development of company processes.
Hire and manage interns with support from senior management.
Manage calendar for executive: schedule & coordinate events, calls, and meetings.
Track and submit executive expense reports.
Provide occasional assistance for executive travel - hotels and flights.
Anticipate executive’s priorities and assist with tasks as needed.
Assist artist managers with client scheduling, data management, and administrative projects involving label relations, public relations, merchandise, licensing, publishing, touring, endorsements, artistic/creative processes, production, and marketing, as needed.
